Allegrow has two parts: the family app, used by children to time their music practice under a parent’s supervision, and Allegrow Studio, used by music teachers. Children don’t create accounts and aren’t asked for contact details. A parent signs in to set up the family app and decides what is shared.
| Where | What | Where it’s kept |
|---|---|---|
| Family app | Each player’s name or nickname, an optional photo added by a parent (shrunk to a small 128 × 128 picture), instrument, color, practice times and minutes (including practice logged by hand), practice scores worked out on the device (focus, tuning, rhythm), badges, practice plan and app settings. A parent PIN, if you set one, is kept only on that device, scrambled (never as the digits). | On your device. Once a parent signs in, also in our database, where only that family’s members can reach it: the parent accounts and the practice devices a parent added with a one-time code. A practice device is identified by an anonymous device ID, not by a person’s account. When a parent removes a device, it loses access and clears itself. |
| Parent account | When a parent signs in (with Google, Microsoft, Yahoo or an email and password): their name and email, and which family they belong to. Used to set up and open the family, to bring the family back on a new device and – only if they turn it on – to send a weekly summary of the family’s practice (every summary has an unsubscribe link). | In our database. The family’s record lists its parent accounts; each parent’s own sign-in record is visible only to them. |
| Connected to a teacher | Only after a parent agrees: the child’s photo if one was added, their practice summary for the last 60 days, a month-by-month practice history (minutes, days and practice scores, starting two months before they connected, kept for 3 years) for the teacher’s progress reports, badges, assignment check-offs, which teacher stars they’ve seen and which challenges they’ve finished. | In our database, on that student’s record, visible to that teacher. Monthly history older than 3 years is removed automatically. |
| Recordings for the teacher (optional) | Only if a parent turns on recordings for a connected child: short audio clips (up to 90 seconds) the child chooses to record and send for an assignment, with the date and the teacher’s written reply. | In our database, on that student’s record, visible to the family and that teacher. Recordings are deleted automatically after 30 days (and only the newest 12 are kept). |
| Billing (teachers) | Lesson prices, payments and balances a teacher records for their students, and – if the teacher turns on payment reminders – the billing email addresses they add for each family. | In our database, visible only to that teacher (and the administrators of their music school, if they’ve joined one). If the teacher turns on sharing, the family sees their own balance, what’s due and recent charges and payments in the family app (which needs a parent’s sign-in or PIN). Reminder emails go only to the addresses the teacher added, and every reminder has a link to stop them. |
| Allegrow Studio | The teacher’s sign-in name and email (Google, Microsoft, Yahoo or email and password), studio name, and the student information the teacher enters: names, an optional small photo, an optional birthday (month and day only, no year), instruments, repertoire, files and demo recordings the teacher attaches to assignments, lesson times, practice plans, lesson notes and ratings, assignments, recitals and exams, badges and stars. | In our database, visible only to that teacher (and to the family, for the parts that appear in their app) – and, if the teacher belongs to a music school, to the school’s administrators as described below. |
| Music schools | If a teacher joins a music school on Allegrow: the school’s name, its teachers’ names and emails, whether each teacher is active, and who handles their billing; school events with the students taking part; and tasks the school gives its teachers. | In our database. The school’s administrators can open each member teacher’s studio and see everything in it – students, lessons, practice, assignments, recordings, performances and billing – except the teacher’s private lesson notes, and see the school rolled up by teacher. Teachers see the school’s events and their own tasks. If a teacher leaves or is removed, their students stay with the school. |
| Booking page and lesson changes | If a teacher turns on booking: what a family types into the teacher’s booking page (student’s name and age, instrument, experience, a parent’s name, email and phone, notes) and whether they agreed to the studio’s policies; lessons a parent cancels in the family app and makeups they ask for; and the family email a teacher adds for lesson and payment reminders. | In our database, visible only to that teacher (and, for cancellations and makeups, the family). Every reminder email has a link to stop them. |
| Beta requests, contact and feedback | What you type into the forms – for example your name, email, studio and message. | In our database, visible only to the Allegrow team. |
Allegrow is designed to be used by children, including children under 13, with a parent or teacher. We follow these rules:
Only to run Allegrow: to show practice and progress, share it with a connected teacher, show teachers’ assignments and lesson times to families, keep calendars up to date, send teachers the emails they turn on, and improve Allegrow using feedback you send us. We don’t use information to advertise to anyone.
Like any website, these services see technical information such as your device’s IP address when the app loads. They process information only to provide their service to us.
Family, student and calendar records can only be opened with long random codes, and each teacher’s studio can only be opened when signed in – by that teacher, or by the administrators of a music school the teacher has joined. A small number of Allegrow staff can also open accounts, only to help when you ask, fix problems or keep Allegrow safe; every change they make is recorded. When something in the apps breaks, they send us a short error report – what went wrong, on which page, and the browser – with no names, emails or practice in it. We keep the information we collect to a minimum. No system is perfectly secure, so please keep family codes and invite links private.
If we make meaningful changes – especially to anything involving children’s information – we’ll update this page and let families and teachers know in the app before the change takes effect.
